Where enabled for your account, the AI Assistant helps you ask questions about, search and summarize records you are authorized to access. Access to a client's shared co-parent chat requires the client's permission for the relevant scope and period. Connecting with a client does not by itself authorize access to any conversation.
When authorized access expires or is withdrawn, access to that shared material through the AI Assistant also ends. Call recordings and transcripts are not available through AppClose Pro.
How your client's information is handled
The AI features in AppClose Pro work on the records your client chose to share with you, limited to the categories and date range the client selected and to the period in which that authorization is in effect. Those records and your prompts are processed, as written, by a large language model operated by a third-party provider. The provider processes that content only on AppClose's instructions, to return a result in AppClose Pro; it does not store the content beyond the request and does not use it to train models. The AI features available to AppClose users in the app run on AppClose's own infrastructure instead, and nothing from those features is sent to a third-party provider. AppClose does not use your prompts or your clients' records to train AI models.
Reviewing what you get back
Review each answer against the underlying records. AI responses may be incomplete or incorrect, and do not determine legal compliance, provide a legal conclusion, or replace your professional judgment. You remain responsible for your use of the information.
An exported AI conversation or answer is not a Certified Electronic Business Records export and is not part of AppClose's Exportable Records. Save necessary professional work in your own appropriate records system. AppClose Pro is not a practice-management or permanent client-file archive.
Before using client information, obtain the permissions and authorizations your role requires. See Section 15 of the Terms of Service for AppClose Pro and Section 5 of the Privacy Policy.
